Why Exporting Matters

The IRS requires detailed mileage logs that include the date, purpose, miles driven, and classification of each trip (business, personal, medical, charity, or commute). MileIQ makes this easy because its reports are IRS-compliant and audit-ready right out of the box.

Clean reports save time for you and your tax preparer, and they give you confidence that you’re not leaving deductions on the table.

Besides, it isn’t like tracking your miles is going to do any good if you can’t export them from the app later right?

When It Matters Most

Now this is going to matter depending on when exactly you file your taxes, how you file your taxes and who you file your taxes with:

Annual Filers: If you file taxes once a year, you’ll want to generate a year-end report that covers all your business drives.

Quarterly Filers: If you work with a CPA or tax service to file quarterly estimated taxes, exporting at the end of each quarter is just as important. It helps your CPA calculate accurate estimates, prevents surprises, and catches errors early.

Monthly Check-Ins: Some business owners and gig workers even export monthly reports as an internal check-in. This is especially useful if you drive for multiple platforms and want to align mileage with your income and expenses.

Keep in mind, every tax situation is different — how often you should file depends on your income type and structure, so it’s always best to consult with a qualified tax professional to determine what works best for you and your business.

How to Export a Report from MileIQ

From the home screen, to summaries, to sending who you want to.

Here’s how to export your reports in MileIQ:

  • Open the MileIQ app or log in on the web dashboard (for this example I am using the mobile App.

  • Go to Reports.

  • Choose a date range (monthly, quarterly, or yearly).

  • Select which drives you want included:

    • Business only

    • Personal Only

    • All drives

    • Custom categories (if you’ve created them)

  • Choose who you want to send the Report to.

Choose your preferred format:

PDF – easy to read and share.

CSV or Excel – best if you or your CPA want to sort and filter data.

Most people will export just their business drives because that’s what matters for deductions and tax filings. Sending only the business miles saves your CPA time, keeps your report focused, and avoids cluttering it with personal or non-deductible trips.

MileIQ 2025 mileage report offers PDF download options for Tax Summary and Full Mileage Report with location details.
Email from MileIQ where you can choose how you would like to download your milage report

You can also put your CPA's contact information in there so they can download it in the way they see fit.

That said, sometimes it makes sense to include everything if you want a full record of your driving activity for personal review, or if you need to double-check that every trip has been classified correctly.

Some drivers or small business owners prefer to export just a few categories (for example, “Courier work” and “Client Meetings”) so they can track platform profitability or separate different income streams.

This can be helpful for business analysis, but keep in mind that your CPA may still consolidate everything back into “Business” when it’s time to file.

Sharing and Storing Your Reports

Now there are a few different ways to send your Mileage Report to share and Store our reports, as this is private information for you and your business.

Saving to the Cloud

Once your report is generated, MileIQ makes it simple to share and back up online:

  • Email it directly to yourself or your CPA/bookkeeper (I like the latter for maximum flexibility for them).

  • Save it to cloud storage (Google Drive, Dropbox, OneDrive).

  • Print it out if your accountant prefers paper.

Pro tip: If you’re working with a CPA quarterly, attach your mileage report to the same email or cloud folder where you keep income and expense documents. It makes their workflow seamless.

Saving Locally on Your Computer

For those of us who like to stay extra organized, it’s smart to keep a local copy of every report on your computer:

  • Create a dedicated folder, for example:

    • Documents → Taxes → Mileage Reports → 2025

  • Save each report with a clear name, such as:

    • MileIQ_BusinessMileage_Q1_2025.pdf

  • Keep backups in multiple formats (PDF for readability, Excel/CSV for sorting).

  • Consider creating subfolders for Quarterly, Annual, and Supporting Docs if you work closely with a CPA.

This way, even if you lose access to cloud storage or email, you’ll always have your reports safely stored and easy to find.

When you export mileage reports, which format works best for you?

  • 📄 PDF — simple, ready to print

  • 📊 CSV — flexible for editing

  • 👨‍💼 Depends on what my CPA wants

Best Practices for Tax Time

Stay consistent: Classify trips regularly so your reports are clean at export time.

Choose the right level of detail: CPAs often prefer one overarching “Business” category, even if you’ve tracked multiple categories for yourself.

Backup your reports: Save to the cloud and locally on your computer for maximum security.

Export regularly: Don’t wait until tax season. Quarterly or monthly reports make things much smoother.

Consult with Your CPA: Not all CPAs and Tax professionals work the same way, and some may actually prefer you send them more details than others. Which is why you should ask them how they would like to receive information from you.

You should also make sure you aren’t getting overcharged during tax time as well and working with a Tax professional that is looking out for you, and that is where GigTax is here to help.

Final Thoughts

Exporting and sharing reports is the final step that makes MileIQ so powerful. Logging and classifying drives is great, but when you can hand your CPA a clean, IRS-ready report every quarter or year, that’s when the app truly pays off.

If you file annually, export one big year-end report.

If you file quarterly, set a reminder at the end of each quarter to export and share your report with your CPA.

And if you really want to stay on top of things, export and save monthly reports — both in the cloud and on your computer.
